1. Who we are

For the purposes of UK data protection law, we are the controller of the personal data processed through the Platform except where we clearly state otherwise.
2. Scope
This Policy applies to visitors to Platforms.vet, account holders, reviewers, end users who contact vendors or request demos, vendors who create or manage listings, and people who communicate with us about the Platform.
3. The categories of personal data we collect
- Identity and account data, such as your name, organisation name, role, email address, login credentials, authentication details, and account settings.
- Single sign-on data where you log in using Google or Microsoft, such as your name, email address, unique account identifier, and any basic profile information made available to us by that provider.
- Profile and platform usage data, such as preferences, favourites, saved items, review history, vendor dashboard activity, and interactions with the Platform.
- Review and submission data, such as ratings, written reviews, comments, verification information, moderation records, and any files or information you choose to submit.
- Vendor listing data, such as vendor contact names, product information, categories, features, integrations, screenshots, logos, pricing details, and any other information a vendor chooses to upload to its public listing or account.
- Demo request and enquiry data, such as your name, work email, organisation, phone number where provided, and the details of the product or service you want to hear about.
- Communications data, such as messages you send to us, support requests, moderation correspondence, and feedback.
- Technical and device data, such as IP address, browser type, device identifiers, operating system, referring URLs, approximate location inferred from IP, and logs relating to access, performance, and security.
- Cookie and similar technology data, where used on the Platform.
4. Where we get personal data from
- directly from you when you browse, create an account, log in, submit a review, publish a vendor listing, request a demo, or contact us;
- from Google or Microsoft if you choose to use their sign-in services;
- from your device and browser through logs, cookies, and similar technologies;
- from vendors or other users where that is necessary to investigate moderation, disputes, abuse, or security concerns.
5. How and why we use personal data
We use personal data to provide and operate the Platform, create and manage accounts, authenticate users, publish and moderate reviews and listings, process demo requests and enquiries, communicate with users and vendors, monitor performance, prevent fraud and abuse, improve the Platform, and comply with legal obligations.
We generally rely on one or more of the following legal bases under UK data protection law: performance of a contract or steps taken at your request before entering into a contract, compliance with legal obligations, legitimate interests, and consent where consent is required.
Where we rely on legitimate interests, those interests generally include operating a trusted review and discovery platform, keeping the service secure, improving the Platform, enabling vendors to present their products, and running our business efficiently while respecting your rights and interests.
6. Public content and what becomes visible on the Platform
Reviews, ratings, comments, product listings, vendor profiles, screenshots, logos, descriptions, pricing information, feature information, and similar material that a user or vendor chooses to publish to the Platform may be visible to other users of the Platform.
Where a vendor uploads information for publication, we will generally only display the information that vendor has chosen to submit for publication, subject to our moderation, formatting, and technical processes.
Public pages may also be indexed by search engines or accessed by other third-party services that crawl public webpages. Content that is made public should therefore not be treated as confidential.
7. When we share personal data
We do not share your personal data with third parties for their own marketing without your express consent.
We may share personal data in the following limited circumstances:
- with the vendor or supplier you choose to contact or request a demo from, so they can respond to your request;
- with service providers who help us host, secure, maintain, analyse, or support the Platform and who process data on our behalf under appropriate contractual controls;
- with professional advisers, insurers, auditors, or acquirers where reasonably necessary for business purposes and subject to confidentiality obligations;
- with regulators, law enforcement, courts, or other authorities where required by law or where necessary to establish, exercise, or defend legal claims.
8. International transfers
Because the Platform serves users worldwide and some of our providers may operate outside the UK, personal data may be processed in countries outside the UK.
Where we make a restricted transfer under UK data protection law, we will use appropriate safeguards, such as adequacy regulations, the UK International Data Transfer Agreement, addenda to standard contractual clauses, or another lawful transfer mechanism, as applicable.

Technical logs are typically retained for shorter periods unless needed for security, fraud, or legal matters.

Depending on the law that applies to you, you may have rights to request access to your personal data, rectification, erasure, restriction, objection to processing, portability, and withdrawal of consent where consent is the basis for processing.

We may ask for reasonable proof of identity before acting on a request.
12. Marketing communications
If you opt in to receive marketing, we may send updates about Platforms.vet, new features, content, or events. You can unsubscribe at any time using the link in the email or by contacting us.
Operational emails, security notices, moderation notices, and responses to your enquiries are not marketing communications.

Platforms.vet is not directed to children and is intended for adult users. We do not knowingly collect personal data from children.

We use appropriate technical and organisational measures designed to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorised disclosure, or access. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
